COMMITTEE VOLUNTEERS
The Greene County Chapter is an almost completely volunteer-run group with our only paid staff member being the part-time Director. We function with 11 steering committee positions who either handle a portion of the chapter's business themselves or who lead subcommittees to tackle larger tasks. As a fairly young organization we are still seeking dedicated individuals to commit a portion of their time to the chapter.
SUB COMMITTEE MEMBERS The positions detailed below (Volunteer & Events, Resource Development, Faith Relations, Construction and Communications) all act as the chair of a smaller group. As such, the duties they are tasked with are frequently delegated to a group of volunteers that form that subcommittee.
Anyone who is interested in a portion of those responsibilities but wants to be free to choose to help in some areas but not others would be perfect candidates to fill a subcommittee position. Subcommittees typically meet less frequently than the larger steering committee and only when the need arises. Specific duties would depend on the arrangement that is worked out between the volunteer and the committee chair.
STEERING COMMITTEE CHAIRMAN -Lead all committee meetings and maintain order and organization. -Liaison and first point of contact for all committee dealings with outside organizations as well as the chapter director. -Can make minor on-the-spot decisions with agreement of the director. -Maintains contact with the Director throughout the month. -Report monthly to the committee on the current status of the chapter. STEERING COMMITTEE VICE CHAIRMAN -Splits some of the work load and duties with the Steering Committee Chairman. -Maintains contact with the Chairman throughout the month. -Takes over for the Chairman for any and all duties where the chairman is unavailable. VOLUNTEER AND EVENTS SUBCOMMITTEE CHAIRMAN -Recruit, retain and appreciate our volunteers. -Plan, organize and oversee fundraising and other events. -Coordinate, schedule and manage construction volunteers during construction projects. -Maintain an annual events calendar. -Work with Communications Coordinator to insure all events are being properly advertised and marketed. -Collaborate with partner families, volunteers and construction staff to constantly improve the volunteer program. -Report monthly to the committee on the status of all upcoming events and the impact and lessons learned from past events. BUDGET COORDINATOR (TREASURER) -Monitor all incoming and outgoing funds and maintain monthly contact with the affiliate treasurer. -Create and maintain the chapter budget and all budgetary forecasts. -Maintain and monitor all chapter bank accounts, financial tracking software and the purchase accounts for all local businesses. -Insure that the names of all donors are forwarded to Volunteer and Events subcommittee for appreciation cards. -Report monthly to the committee on budgetary matters and what the current chapter account balance is. RESOURCE DEVELOPMENT SUBCOMMITTEE CHAIRMAN -Work in collaboration with the Faith Relations Chair to ensure that the fiscal and volunteer needs of the chapter are met. -Establish contacts with local and national businesses and corporations to arrange for financial and/or volunteer support. -Seek grants from local governments, non-profit organizations and charities and write grant proposals. -Seek a list of in-kind donations desired by the building committee and develop strategies to meet those needs. -Collaborate with other steering committee members to ensure that processes are in place for donor recognition and donor information tracking. -Report monthly to the committee on all potential donors, grants being worked or other related matters. FAITH RELATIONS SUBCOMMITTEE CHAIRMAN -Work in collaboration with the Resource and Development Chair to ensure that the fiscal and volunteer needs of the chapter are met. -Establish contacts with local community churches in an effort to raise awareness, seek prayer and arrange for volunteers and financial support. -Establish contacts with local and national faith-based organizations as well as secular charities and programs to arrange for financial and/or volunteer support. -Report monthly to the committee on all potential donors and church partnerships or other related matters. RECORDS COORDINATOR -Take minutes of each monthly meeting and insure accuracy. -Maintain bookkeeping, records and documents for the chapter. -Maintain Chapter bylaws. -Report monthly to the committee to present previous month's minutes and any issues pertaining to the chapter records. FAMILY SUPPORT COORDINATOR -Committee position can be filled by the family advocate for the current partner family or can be a separate person. -Maintain contact with the partner family and/or the family advocate. -Maintain contact with the affiliate to insure that financial and sweat equity milestones are being met, and also that the family's needs are being met. -Maintain membership on the affiliate Family Selection Board and attend all meetings. - Maintain membership on the affiliate Family Support Board and attend all meetings. -Report monthly to the committee on the current status of the partner family and the affiliate boards. COMMUNICATIONS COORDINATOR -Maintain (or oversee the maintenance of) the chapter's website. -Place and monitor advertisements, classified ads, and other announcements in local media outlets. -Maintain an email distribution list, which should be used to call for donations and volunteers and to communicate with chapter members. -Create and maintain marketing materials for the chapter (both paper and web based). -Report monthly to the committee on the status of the website and all matters related to communications. CONSTRUCTION COORDINATOR -Responsible for construction coordination and schedules, construction supervision, material procurement and safety. -Develop systems and schedules for organizing families and volunteers for construction. -Establish contacts in the construction community and arrange for reduced cost or donated building material and/or professional services. -Report monthly to the committee on the current construction calendar, volunteers and materials needed and any present building-related issues. CHAPTER REPRESENTATIVE ON AFFILIATE BOARD -Attend all Charlottesville Affiliate board meetings and represent Greene County Chapter in Board discussions. -Report monthly to the committee any pertinent affiliate news and information. ALL COMMITTEE MEMBERS -Delegate any and all responsibilities necessary to subcommittee members. -Communicate and collaborate with fellow steering committee members and the chapter director. -Insure that information regarding contacts made with churches, businesses, donors, volunteers and local government officials are captured and maintained. -Continually seek to raise and maintain the community's awareness of Habitat's work in ways that properly reflect the mission, beliefs and image of Habitat for Humanity International. -Attend all monthly steering committee meetings and have reports ready each month.
DIRECTOR -Part-time paid position. Not a voting member of the steering committee. -Oversee the day-today operations of the chapter and act as the chapter's main point of contact for all external contacts. -Collaborate with all steering committee members and assist members with any and all duties assigned. -Can make minor on-the-spot decisions with agreement of the chairman. -Maintain contact with Committee Chairman throughout the month. -Report monthly activity, mileage and expenses to the committee in writing and at the monthly meeting
